  • ACTION Dave proposed a sponsorship doc. Sean posted it to the ML. Sean likes it as the sponsorship "first page". The second page will cover sponsorship details below.
  • ACTION Dave wants to call out what venue types we are looking for
  • ACTION We will need start planning the annual OpenStack birthday event soon. Sean will add at to the Feb agenda.
  • ACTION Lisa proposed we create a Platinum level at 10K.
  • ACTION Lisa proposed we track credit for venue over time for equivalent sponsorship value
  • ACTION Sean will update the SF user group sponsorship details to the top of this wiki. It will stay here as the placeholder until the groups.openstack.org site provides a place for the same information.

  • Review Requirements to be an Co-Organizer:
    • Join the organizer meetings. Those on the call are now co-organziers. Co-organizers that consistently don't show up will be slated to be removed. Sean will make an effort to reach out before removal. I have started to do this with mixed results. I will continue removing sponsors and co-organizers not involved.
    • If you want to hold an event, then Sean will make you the owner of an event. If you want to create other events, then you must be active in the organizer meetings.
  • Sponsorships
    • we held 35 events last year 35 * $500 = $17,500, including one birthday event $55K
    • so our target should be $72K total
Overview
Sponsorship spots are first come, first served
We will need a (1) gold and (1-2) silver sponsor(s) for each event
If you provide the venue, food, and beverage, then you are the event gold sponsor
If you provide $250, then you are one of the two silver event sponsors. 
Most of the costs will be to cover the annual OpenStack Birthday party.
The Birthday event will be different than above, Year Gold or Sliver sponsors will be listed as sponsors of the Birthday event
Other per Birthday event sponsors could be added if we need to cover more costs
We will decide during a meeting if the cost estimates need to be adjusted
Organizer (Sean) or Treasurer (Dave) will distribute money to cover event costs. Desired to require both Organizer and Treasurer approval to distribute mone, but logistics may not work.
Desired to have all sponsors with view access of account (maybe paypal?)
Treasurer (Dave) will post to the agenda amounts distributed during monthly meetings
Treasurer (Dave) will gather money from sponsors
Costs:
year gold 10 * $5K = $50K
year silver 10 * $2.5K = $25K
event gold (one per event): $500 per event (or provide the venue, food, and beverage)
event silver (one to two per event): $250 per event
Benefits:
year gold: you get logo on the top of sponsorship page (alpha order)
year silver: you get logo on the bottom of sponsorship page (alpha order). you need to gold sponsor one event. Must be scheduled at time of sponsorship.

  • Sponsorships:
    • Tom: suggested a Tiered sponsorships. Year long two levels plus per event.
    • Sean: Maybe put $ towards “Openstack 5th Birthday” event
    • Lisa N: Hosting events can be expensive. $10k since August. Basic $400 per night for 50-60 people. So donations would be welcome
    • Dave offered to be treasurer for the group DONE

      • sean and dave can disperse money. I’ll look into requiring both our approval to distribute money.
  • Potential new sponsors:
    • Tom: Percona
    • Sean will start reaching out to the existing sponsors once we have some concrete ideas. We want to encourage participation, so no one that wants to work with us gets left behind.

  • On OpenStack wiki there is a: How to run a user group page written by Sean.
  • Ideas for regularly scheduled events:
    • Sean: Project focused events: Neutron, Cinder, Trove, Days. Perhaps have 3 or 4 companies sponsor. Each company is more tied to specific project. Ask for those companies to take lead on that project.
    • Collaborate with other events, such as DevOpsDays Mountain View
    • “What’s happening in OpenStack” session. Vendors would love to give these updates
  • Training: Sean Roberts says
    • As you know I’ve been running training as part of SFBayOpenStack
    • Our training is intended to provide training content for the community. It is not meant to compete with the vendor’s training
    • We will continue to do this through the SFBayArea User Group
    • “Get Training” Going thru a revamp of the training.

  • Should we have requirements to be a sponsor?
    • Sean's idea: In order to have your logo on the sponsors page, you/your company is required a nominal $1K annual fee OR manage at least one event per year
  • Should we have requirements to be an organizer?
    • An organizer can create, edit, and delegate events to an Event Host.
    • Sean's idea: Organizers should be active. Either you manage one event per year or give up your Organizer designation. New Organizers/Co-Organizers can only be set by a majority vote of the existing Organizers.
  • What is the OpenStack Ambassadors group?
    • User group leaders from around the world and representing regions like the Western US or Eastern Europe. Sean will explain a bit more and answer any questions.
  • Should we have a regular schedule for certain types of events and if so how do we fill them?
