  1. decide date: March 2 - 4
  2. create a small working team on your site, including the marketing team.
  3. estimate the cost for your site and apply for budget (or joint budget? TBD)
  4. estimate how many attendees and decide the projects (Nova, ...) to work at hackathon according to your or your company's strongpoints, you might define some themes, e.g. Nova live migration bug list.
  5. define the goal of your hackathon (the number of the bug fixes) and agenda for 3 days
  6. decide venue
  7. test the network at the venue to access the Internet in advance and ensure it is good for simultaneous access, if the site is an office, ensure the guests instead of the employees can access the Internet.
  8. reserve food to offer, or suggest food for lunch for 3 days, and coffee break if necessary.
  9. according to the projects and the budget, decide which core reviewers should be invited and how many, and make a plan (the travel of the core should be covered by the sponsors)
  10. finalize the itinerary with the core reviewers in person
  11. contact and ask the vendor to design the branding and T-shirts, for decoration of the venue (or uniform branding for all geos?)
  12. draft a global message to the community and send to openstack-dev@lists.openstack.org (seems Dee has one)
  13. draft separate emails for details of different geos and send to openstack-dev@lists.openstack.org later after the global message is sent. (Maggie from Intel will make it for Chengdu, and you can refer as a template)
  14. post the message onto wiki.openstack.org and create a series of etherpad link on etherpad.openstack.org for registration. Eventbrite is also a good idea.

  2. pre-event promotion, you might ask local media to post the hackathon news
  3. photography assignment during hackathon, media interview for your site
  4. arrange other team building or skip it.
